The short answer
A built-in AI receptionist is software you configure. ProClientFlow is a managed service that works alongside the software you already use. Jobber and Housecall Pro are good at what they are: they answer, capture and schedule inside the platform. We do not argue you should leave either. We argue that someone has to define, test and tune how calls are handled for your trade, and that someone should be accountable for booked jobs.
The cost of a missed call
Industry benchmarks put the share of inbound calls to home-service contractors that go unanswered at about 27% (across 60M+ calls), and a missed sales call can represent roughly $1,200 in expected revenue. The question for you is not whether to use an AI receptionist. It is whether the bundled one is enough for the calls that make money. See the math in How much does a missed call cost an HVAC company?

What you still configure yourself
With a built-in receptionist, the owner defines the rules. Expect to write and maintain:
- Which situations count as emergencies, and who gets called.
- Your service area and what to say outside it.
- Diagnostic fees and how to quote them.
- Membership and maintenance-plan handling.
- Warranty work and when not to promise a slot.
- Availability and booking logic, updated as your schedule changes.
That is a few evenings of work up front and ongoing upkeep. With ProClientFlow, we do the configuring and tuning.
Trade by trade: what qualification looks like
- HVAC: repair or replacement, system type and age, warranty status. A no-heat call with a vulnerable person at home gets priority routing.
- Plumbing: active leak or backup, shutoff access, residential vs. commercial. Urgent hazards do not get offered a routine slot.
- Electrical: sparking, burning smell, tripped breaker. Unsafe conditions go to on-call, not the calendar.
- Roofing: estimate or service call, storm damage, tarp needed now, service-area limits and access requirements.
These are illustrative examples, not our full scripts. The Emergency Call Triage Scripts Pack covers all four trades if you want to build it yourself.
Works with your stack
Nothing is replaced. Your booked jobs land on your calendar and Jobber or Housecall Pro stays your system of record. On top of it we add missed-call text-back, trade-specific qualification, a 5-touch reactivation sequence for quiet leads, and reporting on booked jobs. Tell us your tools on the intake form and we will confirm what we can connect before you commit.
When the built-in is enough
- Your call volume is low and few calls are missed.
- You only need simple scheduling.
- You enjoy tuning rules and are happy to own that work.
- The bundled price is already in your plan and you want to try it first.
If that is you, use it. If you are losing jobs to after-hours calls, nuanced triage or leads that go quiet, that is where a managed layer pays for itself.
Frequently asked questions
Do I have to switch software?
No. Nothing is replaced. Keep Jobber or Housecall Pro as your system of record. We set up lead response around it, and booked jobs land on your calendar.
What does it cost?
Our Done-For-You setup starts at $497 and the monthly managed retainer is $497 a month, with no per-conversation meter. The built-in tools can be cheaper on sticker price. Jobber lists Receptionist as included with Plus and as an add-on on some plans, and its own pages show different prices, so check Jobber’s live pricing page. We have not confirmed a current Housecall Pro price, so ask Housecall Pro for a quote. We compete on outcomes, not price.
Who updates the rules and keeps it tuned?
With a built-in tool, the owner defines services, pricing rules, escalation and exceptions, and updates them as things change. With ProClientFlow, we configure it, review real conversations and tune it.
What happens to emergency calls?
We build trade-specific triage up front: gas smell, active leak, sparking panel, no heat with a vulnerable person at home, roof damage after a storm. Urgent hazards are routed to your on-call person rather than offered a routine slot. You approve the rules at kickoff.
Does ProClientFlow do anything the built-in receptionist does not?
Our focus is different. Built-in tools focus on answering and scheduling. We add missed-call text-back, a 5-touch follow-up for quiet leads, and reporting on booked jobs. We have not tested either built-in product call by call, so we make no claims about their call quality.
Is the built-in receptionist enough for me?
It may be. See “When the built-in is enough” above. If your call volume is low, your needs are scheduling only, and you enjoy tuning it, start there.
